Find the missing image by looking at its use
Start from the places the business will use still images and the questions those images need to answer. List the actual subjects, the shape or layout needed and what must be ready on shoot day. A purposeful photo list complements the video plan; a collection of attractive frames without destinations may leave the real gaps untouched.
Look at the business's current website, social posts and Profile before listing shots. Which accurate image is missing? A visitor may need to recognize the entrance, see a real service space or understand an item the business is describing.
Record that use in a sentence. “Entrance image for arrival information” is easier to prepare than “some exterior photos.” “Current dish for this menu announcement” makes the kitchen's preparation clearer than “food content.”
Avoid rebuilding every image each month. Keep existing permitted images that remain accurate and identify what has changed. The monthly list should answer a real content need, not replace useful material merely because it is older.
Make still-photo needs visible in the shoot plan
A scene that works in a moving explanation may need a separate still photograph. The photo may require a cleaner arrangement, a different moment in the process or room for adjacent page text. Tell the crew what the image must do rather than assuming a video frame will supply it.
For each subject, identify the space, item or people needed and when they will be available. Coordinate with the video's schedule so the business does not prepare the same setup twice without a reason. Preparing for a monthly shoot covers the wider people-and-space handoff.
Do not count several exports as several distinct new photographs when discussing scope. Agree which selected photos and versions the proposal includes; a destination list is not an automatic entitlement to every crop or an extra shoot.
Choose business subjects that can be shown accurately
Useful subjects depend on what the business actually does. Consider:
- The real entrance or reception area when arrival is confusing.
- A current product, dish or approved finished item.
- A staged, accurate step in the service process.
- Prepared tools or work areas that explain the business's work.
- Team members who have agreed to appear, in the role the image represents.
Check screens, labels, paperwork and people in the background before photographing. Move private information out of the scene instead of treating it as part of the business story. Agree necessary permissions with the people responsible for the space and participants.
For Google Business Profile, Google's photo guidance asks for focused, well-lit images that represent reality, with no substantial alteration or excessive filters. It distinguishes logo, cover and business photos; choosing a cover does not guarantee it will be the first image shown. This is Profile-specific guidance checked in October 2026, not a universal rule for every designed social graphic.
Make the plan practical.
Keep your answers and unresolved questions together before the project conversation.
Use the worksheetCopy this purpose-to-photo worksheet
Use a row per distinct subject. The blank fields hold the business's real decisions, not suggested client results.
Scroll horizontally to see the full table.
| Purpose / destination | Actual subject | People or setup needed | Layout or shape to discuss | Permission / business-fact check | Approver |
|---|---|---|---|---|---|
| ____________________ | ____________________ | ____________________ | ____________________ | ____________________ | ____________________ |
| ____________________ | ____________________ | ____________________ | ____________________ | ____________________ | ____________________ |

Then complete this readiness list:
- Each subject has an actual destination or planning purpose.
- Products, dishes, spaces or people can be ready in the agreed shoot window.
- Someone inside the business can confirm the facts the photo will imply.
- Participants and space permissions are handled through the appropriate business process.
- Private background information has been identified before filming and photography.
- The requested selected-photo count and versions fit the written scope.
- One role consolidates the photo selection and any corrections.
Keep requests for extra photographs visible for the scope conversation. Do not hide them in a caption note or assume they replace a video deliverable.
Check meaning as well as appearance
Review selected images against their intended use. Is the subject current? Could the image imply a service, space or person the business does not actually provide? Can the intended customer recognize what matters at the displayed size?
For web use, decide what information the image conveys in its context. The W3C image decision tree distinguishes informative, functional and decorative images when choosing alternative text. A brief subject-and-purpose note helps the person publishing make that decision; file naming alone is not an accessibility check.
For social publishing, separately confirm the accompanying written message and any time-sensitive details. A selected photograph does not verify an event date or an offer. Who writes that text depends on the agreed publishing scope.
Use the photo list with the video topics
The two lists should serve the same business priorities without doing identical jobs. A video might explain a process, while a still image identifies the finished item or the person viewers will meet. Neither requires inventing a customer outcome.
What to film in a monthly shoot helps choose the video questions. Use the photo worksheet to supply the still-image needs those topics leave open. Continue with monthly content guides rather than adding unrelated imagery to fill a calendar.
How we can help
Our monthly videos and photos come from the same planned shoot, with the exact deliverables in writing. Bring the purpose-to-photo list when we agree the month's scope; extra photos are an available choice. With content only, your team handles publishing and replies; separately confirm responsibility for the written text under posts.
